invoicing process automation
CLIENT
Legal and General Investment Management is a London, UK-based company that hired me to review and streamline IT business processes. Like many other big corporations, LGIM needed to gain flexibility and embrace change through automation.
PROBLEM
The IT Business Management department had a rather dinosaur process: a team member would print invoices, along with a cover sheet providing instructions, and send them by Royal Mail to the accounts payable team in Cardiff. In 2015, this could have been a faster, more efficient, and sustainable workflow.
SOLUTION
As an executor and force of growth, I started reviewing and documenting the invoicing process and actively collaborating with SMEs and colleagues. I mapped the current process and the 'to be' process, which is what I wanted it to look like in the future. Following leadership's approval, I orchestrated the testing and training phase. After a one-month probation period, tweaks and cosmetics, we had a streamlined digital invoicing process.
RESULT
The wins of this digital transformation were efficiency, cost savings (paper and Royal Mail), IT and team productivity growth due to less paperwork time, and blossoming cross-functional communications. The change increased team productivity by approximately 22% and reduced department paper use costs by 15%.
